Zapier: What It Is and How It Works

Last updated on July 6, 2025 Zapier App Development

In our last few articles we’ve talked about why you should create a Zapier app, why hiring an expert to develop your Zapier app is a good call, and how to ensure your Zapier app stays updated and relevant. In this article we’ll take it back to the basics and discuss what Zapier is, how it works, popular use cases, and the benefits of using Zapier

What is Zapier?

Zapier is an online automation tool that enables users to connect their favorite apps and automate workflows without needing to write any code. With over 7,000 integrations, Zapier allows users to create “Zaps”—automated workflows that link different applications to perform tasks automatically.

For instance, you can set up a Zap to save email attachments from Gmail to Dropbox and notify you in Slack whenever a new attachment is added. This eliminates the need for repetitive manual tasks, allowing you to focus on more important activities. Zapier has a great suite of courses that break down everything from building workflows to onboarding customers.

How Does Zapier Work?

Zapier operates on the principle of triggers and actions. Each Zap consists of a trigger (an event that starts the workflow) and one or more actions (tasks that Zapier performs automatically). Here’s a step-by-step break down of how Zapier works:

  1. Create a Zap: Start by creating a new Zap. This involves selecting a trigger app and event. For example, you might choose Gmail as your trigger app and “New Email” as the trigger event.
  2. Set Up the Trigger: Configure the trigger by linking your account and specifying any conditions or filters. For instance, you might want the Zap to trigger only when an email is received from a specific sender.
  3. Choose an Action: Next, select an action app and event. This is the task that will be performed when the trigger event occurs. For example, you might choose Dropbox as the action app and “Upload File” as the action event.
  4. Configure the Action: Set up the action by linking your account and defining the details of the task. This could involve specifying the folder in Dropbox where the file should be saved.
  5. Test the Zap: Before activating your Zap, it’s crucial to test it to ensure it works as expected. Zapier allows you to run a test to see if the trigger and action are functioning correctly.
  6. Turn On the Zap: Once the test is successful, you can activate the Zap. From this point forward, the workflow will run automatically in the background, performing the specified tasks whenever the trigger event occurs.
